Time Entry Transformation Web App Launch

Stearns County began piloting a new web-based time entry application on September 10, marking a major step forward in modernizing how workers log their hours. Designed to streamline time tracking and improve integration with existing tools, including the SSIS desktop platform and backend databases, the new system is already earning praise from early users. 

The pilot uses live production data and introduces several key features:  

  • users can log in and out,
  • switch between multiple databases if they have broader access,  
  • and create and submit time records directly through the web interface.  

One tester shared, “I used this on my phone and thought it was great!” Another added, “I was able to access the database without any issue and enter test notes. I look forward to this being live and utilizing it in the field after home visits!” 

This rollout follows an initial round of User Acceptance Testing (UAT), which involved 35 testers from 19 different agencies. The testing phase helped identify and resolve several issues: 

  • A glitch that prevented users from deselecting the “Interviewed Alone” question was reported by three agencies and has since been fixed.
  • Six agencies reported trouble loading the test site, which was resolved after further testing.
  • One issue still under review involves automatic log-ins using agency email credentials through Microsoft Entra SSO, reported by three agencies. 

Despite these early hurdles, feedback from testers has been positive. One user noted, “I really appreciated how simple it was to quickly enter something from my phone. I can see using this when I am in the field between clients.” They continued, “I don't need to do complete notes because all my work is later detailed in assessment reports. I can see this possibly being more work for someone that needs to detail everything. But really simple for straightforward simple contacts.” 

Others highlighted the intuitive design and smooth navigation: “Like that tabbing works great to get through the different sections :)” and “I have not found any issues when using the application, I think it is going to be a great tool to utilize!” 

The pilot represents a move toward a more flexible and accessible time entry experience for county workers. Feedback from this phase will help shape future improvements and guide broader implementation across other counties.
